Job Summary:

The Accounts Receivable (AR) Manager plays a critical role in overseeing the entire revenue cycle within a nonprofit organization. This includes managing all stages from revenue generation through invoicing, payment collection, donor/grant management, and financial reporting. The role ensures accuracy, compliance, and timeliness of receivables, contributing to the organization’s financial health and mission success.


Key Responsibilities:

Revenue Cycle Management:

  • Oversee the full revenue cycle for contributions, grants, pledges, and program service revenues—from revenue recognition to final collection.
  • Collaborate with program and development teams to ensure accurate revenue documentation and timely invoicing.
  • Track pledges and donor commitments through to receipt and proper allocation in financial systems.
  • Monitor revenue flows and aging reports to optimize cash collections and reduce receivables aging.

Accounts Receivable Management:

  • Manage daily AR operations: invoicing, payment processing, reconciliation, and collections.
  • Ensure timely and accurate application of payments and adjustments in accounting software.
  • Implement best practices and controls to safeguard receivables.

Donor and Grant Management:

  • Maintain detailed records of donor contributions and grant funding consistent with donor agreements.
  • Reconcile donor databases with financial records to ensure data integrity.
  • Support compliance with grant reporting requirements and funding restrictions.

Financial Reporting and Compliance:

  • Prepare detailed reports on revenue cycle performance, collections status, and outstanding balances for management and stakeholders.
  • Assist in audit preparation related to revenue and receivables.
  • Develop and update AR policies and procedures aligned with nonprofit accounting standards (GAAP, FASB, IRS).

Systems and Technology:

  • Manage AR and donor management systems, ensuring seamless integration and data accuracy.
  • Identify opportunities to enhance revenue cycle processes through technology and automation.

Team Collaboration and Training:

  • Work closely with Finance, Development, and Program teams to ensure coordinated revenue cycle management.
  • Provide training and guidance on AR policies, systems, and revenue cycle best practices.

Qualifications:

  • Bachelor’s Degree in Accounting, Finance, Business Administration, or related field.
  • 3-5 years experience managing accounts receivable and revenue cycle, preferably in a nonprofit setting.
  • Strong understanding of nonprofit revenue recognition, donor/grant management, and financial controls.
  • Proficient with accounting software (e.g., QuickBooks, Blackbaud) and advanced Excel skills.
  • Strong analytical, organizational, and communication skills.
