Job Summary
We are seeking a skilled and reliable Administrative Assistant to provide comprehensive support to our team, including floating responsibilities to San Jose sites as needed.
This role involves a wide range of administrative tasks, requiring strong organizational skills, attention to detail, and the ability to handle sensitive and confidential matters.
Key Responsibilities
- Perform a variety of administrative tasks, including preparing correspondence, reports, and presentations.
- Screen and route telephone calls and emails, resolving inquiries and escalating issues when necessary.
- Schedule and maintain calendars, appointments, meetings, and travel arrangements, including coordinating related logistics.
- Prepare and distribute meeting notes and action items, tracking task completion and reporting issues to management.
- Assist with general office duties such as filing, ordering supplies, and reconciling expense reports.
- Coordinate department meetings and events, ensuring all arrangements are effectively managed.
- Provide support to executives, including the CFO and COO, as required.
Required Qualifications
- Proven experience in an administrative support role.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Excellent organizational and time management skills.
- Ability to handle sensitive and confidential information with professionalism.
Preferred Qualifications
- Experience supporting executive-level staff.
- Familiarity with scheduling and meeting coordination in a corporate environment.
