Job Summary:
The AR Documentation Specialist ensures that all accounts receivable (AR) records, including billing statements, insurance claims, and payment records, are accurate, complete, and securely maintained. This role involves verifying and organizing documents to support reimbursement efforts, collaborating with the billing team, and ensuring compliance with HIPAA and non-profit healthcare standards. The AR Documentation Specialist also identifies discrepancies, recommends process improvements, and provides training on documentation procedures to enhance workflow and compliance.

Key Responsibilities:
  • Ensure all AR records, including billing statements, insurance claims, and payment records, are accurate, complete, and securely maintained.
  • Collect, verify, and organize necessary documents to support reimbursement efforts, such as insurance authorizations, Explanation of Benefits (EOBs), and patient payment agreements.
  • Maintain compliance with HIPAA and non-profit healthcare documentation standards.
  • Collaborate with the billing team to ensure required documentation is submitted promptly to insurance payers for claim processing.
  • Address payer requests for additional documentation, such as medical records or itemized billing statements.
  • Assist in routine AR audits to verify the accuracy and completeness of records.
  • Identify discrepancies or missing information in AR records and take corrective action as needed.
  • Recommend and implement improvements to AR documentation processes to enhance workflow and compliance.
  • Maintain best practices for organizing, storing, and ensuring compliance with documentation.
  • Work with the finance, billing, and patient services teams to resolve documentation-related issues that may delay collections.
  • Provide guidance and training to staff on proper documentation procedures and requirements.

Required Qualifications:
  • Associate’s or Bachelor’s degree in healthcare administration, business, or a related field preferred.
  • 2+ years of experience in accounts receivable, billing, or medical documentation, preferably in a healthcare setting.
  • Strong understanding of healthcare billing practices, insurance processes, and AR documentation requirements.
  • Proficiency in healthcare billing systems and document management software; familiarity with [specific systems, e.g., Epic, Cerner, or QuickBooks] is preferred.
  • Excellent attention to detail and organizational skills.

Preferred Qualifications:
  • Experience working in a non-profit healthcare organization is a plus.
